JOB SUMMARY
Under the supervision of a professional or supervisory employee, performs secretarial duties, which require some independent judgment in addition to proficiency in typing
EXAMPLES OF DUTIES
Essential Duties:

  • Receives, screens and routes telephone calls, and assists walk-in visitors by ascertaining needs, explaining departmental policies and procedures, initiating necessary paperwork, or referring them to appropriate staff.
  • Types correspondence, reports, budgets, forms, records and other materials.
  • Takes and transcribes dictation and meeting minutes, as assigned.
  • Schedules appointments for supervisor and other staff. Prepares itineraries and makes reservations, as necessary.
  • Processes various administrative records, and organizes and maintains office files.
  • Prepares billings, maintains and balances simple account records.
  • Sorts and distributes mail and other materials.
  • Instruct new or part-time employees in clerical and office procedures.
  • Maintains departmental time, attendance and leave accrual records, and prepares payroll sheets.
  • Performs other related clerical and secretarial tasks as assigned.

PHYSICAL DEMANDS
  • Duties require sufficient mobility to work in a normal office setting and use standard office equipment including a computer, vision to read printed materials and a VDT screen, hearing and speech sufficient to communicate in person or over the telephone.

EDUCATION
  • Possession of a high school diploma or the equivalent, with some courses in typing.
EXPERIENCE
  • A minimum of two (2) years of clerical experience, preferably in a secretarial capacity.
  • Six month break-in period.
  • Must pass the clerical test on the 30th percentile and a typing test at 45 wpm.
